How to Make an Invoice Template in Word

Works in Word for Windows and Mac. The line item table below uses Word's own table formulas.

RowABCD
1DescriptionQtyRateAmount
2Logo design1450.00=B2*C2
3Business card layout1120.00=B3*C3
4Revisions (hours)260.00=B4*C4
5=B5*C5
6Subtotal=SUM(D2:D5)
7Tax (8%)=D6*0.08
8Total due=D6+D7
Formulas in colour are added with Table Layout > Formula. Select all and press F9 to update them.
  1. 1

    Set up the page

Open a blank document and choose Layout > Size (A4 or Letter) and Layout > Margins > Narrow, so the line item table has room. If you'd rather start from Microsoft's own designs, go to File > New and search for invoice.

  2. 2

Build the header with a borderless table

Insert > Table, 2 columns by 2 rows, then set Borders to No Border. Top left: your logo (Insert > Pictures) and business name, address and email. Top right: INVOICE, the invoice number, issue date and due date. Bottom left: Bill to with the client's name and address. A table keeps everything lined up when the text changes.

  3. 3

    Add the line item table

Below the header insert a table with 4 columns and 8 rows. Row 1 holds the headings Description, Qty, Rate and Amount; rows 2 to 5 are line items; rows 6 to 8 are Subtotal, Tax and Total due, with the labels in column C. Make row 1 bold, right-align the number columns, and tick Table Layout > Repeat Header Rows for invoices that run onto a second page.

  4. 4

    Add the table formulas

Word tables name cells like a spreadsheet: columns A to D, rows 1 to 8. Click D2, choose Table Layout > Formula and enter =B2*C2 with the number format #,##0.00. Do the same for D3 to D5 (=B3*C3 and so on). In D6 enter =SUM(D2:D5), in D7 =D6*0.08 for 8% tax, and in D8 =D6+D7.

  5. 5

Update the fields before you save

Word formulas don't recalculate when you change a quantity or rate. Press Ctrl+A, then F9 (Fn+F9 on many laptops), or right-click a total and choose Update Field. Type the due date by hand: Word's date fields can't add 30 days without a long nested field code. Add payment terms and your bank details below the table.

  6. 6

Save it as a template and export to PDF

Use File > Save As and choose Word Template (*.dotx), so each new invoice opens as an untitled copy. When an invoice is filled in, use File > Save As and pick PDF (on Windows, File > Export > Create PDF/XPS also works). Send the PDF, not the .docx.

Where Word Invoice Templates Break

The maths is yours to check

Most Word invoice templates have no formulas at all. The ones that do use fields that only update when you press F9, so change a quantity, forget to update, and the client gets an invoice whose total doesn't match its lines.

The layout moves

A .docx renders with the fonts installed on whoever opens it. On another computer, in Word on a phone or in a different word processor, text reflows, the logo jumps and the table can split across two pages.

A .docx is easy to edit

Send the Word file and anyone can change an amount or the bank details before passing it on. Accounts teams ask for PDFs because a PDF is what you actually issued.

Numbers and dates are typed by hand

Word can't keep track of your last invoice number or work out a due date. Every invoice starts from an old copy, which is how duplicate numbers and last month's dates slip through.

The Faster Route: Fill It In Online

1

Pick a template

Choose Classic, Modern, Minimal, Bold, Corporate or Elegant. The header, Bill to and line item table are already laid out, like the Word version above.

2

Type on the invoice

Add lines with quantity and rate. Line totals, discounts, tax and the total update as you type, with nothing to press F9 for.

3

Download the PDF

Download a print-ready PDF with no watermark and send it yourself. It opens in Word or Google Drive if you ever need it there.

Tips If You Stick With Word

1

Use tables for every block

Put the header, the addresses and the line items in tables (borderless where you don't want lines). Tabs and spaces drift as soon as a name gets longer; table cells hold their place.

2

Save as .dotx, not .docx

A Word Template opens as a fresh, untitled document every time. You can't overwrite last month's invoice by mistake, and the blank stays clean.

3

Press F9 before every export

Select all and press F9 to refresh the formula fields, then read the total against the lines once more. It's the one step everyone forgets with Word invoices.

4

Keep a list of invoice numbers

Use a simple log, such as a table in another document, with each number, client, date and amount. Invoice numbers must be unique and sequential, for example INV-2026-0001, INV-2026-0002.

5

Embed fonts or stick to common ones

If you send .docx files, use File > Options > Save > Embed fonts in the file, or stay with fonts every computer has. Better still, send the PDF, which carries its fonts with it.

Frequently Asked Questions

Yes. Download the free blank Word template (.docx) at the top of this page: a one-page invoice with your details, the client, an items table and totals, ready to fill in. It opens in Word, Google Docs, Pages and LibreOffice. Word does not calculate the totals, so check the maths or use the Excel template. Send your client a PDF of it, not the .docx. Or skip the file: fill the invoice in online, where totals and tax are calculated, and download the PDF.

Yes. In Word go to File > New and search for invoice to see Microsoft's own templates. They're Word files you fill in by hand: most have no working formulas, so you calculate line totals, tax and the total yourself, and you still number and date each invoice manually.

Yes, with table formulas. Click a cell, choose Table Layout > Formula and use cell references such as =B2*C2 for a line and =SUM(D2:D5) for the subtotal. The catch is that the results are fields that don't update on their own: after changing any number, select all and press F9, or the total stays wrong. Merging or inserting cells can also shift the references.

Yes. Desktop Word on Windows (2013 and later) opens a PDF with File > Open and converts it into an editable document. Expect some shifting in tables and spacing, because the conversion rebuilds the layout. For real changes it's easier to edit the invoice in Invoita, where your draft is kept in your browser, and download a fresh PDF.

On Windows, use File > Save As and choose PDF as the file type, or File > Export > Create PDF/XPS. On a Mac, use File > Save As and set File Format to PDF. Check the PDF afterwards: if the page size in Layout > Size doesn't match your client's paper, the table can run onto a second page.

It's free, with no signup and no watermark on the PDF. Invoita doesn't email or text invoices and doesn't take payments: you download the PDF and send it yourself, just as you would a Word export. A free account is optional and adds saved clients, saved templates and paid/unpaid tracking.
