Lawn Care Billing Problems, Fixed

Billing a Month of Visits

Four or five mows a month, a skipped week for rain, an extra visit before a party. Clients want to see exactly which visits they're paying for. A line with the visit dates, the count as quantity and your per-visit price makes the monthly total easy to check.

Seasonal Contracts Blur Together

A flat monthly fee covers mowing and fertilizing, but the storm cleanup in August doesn't. If extras get folded into the contract amount, clients either don't notice the value or dispute the higher bill. Separate lines keep contract work and extra work apart.

Materials Are Priced by the Unit

Mulch by the cubic yard, sod by the square foot, shrubs by the plant, stone by the ton. Quantity and rate on every line means '6 cu yd @ $68' does the math for you and shows the client exactly what went into their beds.

Disposal Fees Get Forgotten

Hauling branches, leaves and old sod to the dump costs you fuel, time and tipping fees. If it isn't on the invoice, you're paying for it. A dedicated haul-away line makes the cost visible and normal to the client.

How to Create a Landscaping Invoice

1

Add Your Business and the Property

Enter your business name, logo and phone number, then the client's name and the service address, which matters when one client owns several properties.

2

List Visits, Materials and Fees

Add mowing visits with dates as quantity × rate, then cleanups, materials by the unit, and disposal. Mark labor lines not taxable if only materials are taxed where you work.

3

Download or Share

Download the PDF or copy a share link and text or email it to the client yourself. Sign up free to save clients and your template so next month's route takes minutes.

Landscaping Invoicing Tips

1

Put the visit dates on the mowing line

'Weekly mow, edge, trim and blow — May 6, 13, 20, 27 — 4 visits @ $45' answers the client's first question before they ask it. If you skipped a week for rain, the dates show it and the total already reflects it.

2

Write down what the seasonal contract covers

In the terms, spell out the season (e.g. April–October), mowing frequency, how many fertilizer or weed-control applications are included, and whether spring and fall cleanups are in the fee. When an extra comes up, you can point to the written scope.

3

Bill materials with the unit in the description

'Brown hardwood mulch, delivered and spread — 4 cu yd @ $68' or 'Boxwood, 3 gal — 8 @ $32' reads clearly and lets the client compare against garden-centre prices. Add delivery as its own line if you charge for it.

4

Always charge for haul-away

A line like 'Green waste removal and dump fee — 2 loads @ $85' covers your tipping fees and the trip. Clients rarely object when it's itemized, but they do when it's a surprise lump in the total.

5

Use an estimate for anything bigger than routine care

For a new bed, patio or sod install, rename the document to ESTIMATE, list the same lines you'll invoice, and get the client's OK first. When the job is done, the invoice matches what they already agreed to.

Frequently Asked Questions

A landscaping invoice should include your business name, contact details and any license number your state requires, the client's name and property address, the invoice date and service dates, each service as its own line (mowing visits, cleanups, installs), materials with quantities and units (mulch per cubic yard, plants per unit, sod per square foot), disposal or dump fees, any tax, the total due, and your payment terms. For seasonal contracts, note the contract period and which month the invoice covers.

Use one line with the number of visits as the quantity and your per-visit price as the rate, e.g. 'Weekly mow, edge, trim and blow — Jun 3, 10, 17, 24 — 4 visits @ $45 = $180'. Listing the dates lets the client check them against their own records. Invoita has no automatic recurring invoices, but with a free account you can save the client and your saved template so next month's invoice takes a minute to fill in.

Most seasonal contracts are billed as an equal monthly amount over the season, e.g. 'April–October lawn maintenance, month 3 of 7 — $220'. Put the contract period, what's included (mowing frequency, number of fertilizer applications, spring and fall cleanups) and anything excluded in the notes or terms. Bill extra work outside the contract, like storm cleanup or a new bed install, as separate lines so the client sees it isn't part of the flat fee.

Yes. List each material with its unit and quantity, e.g. 'Double-shredded hardwood mulch, delivered and spread — 4 cu yd @ $68 = $272', and list hauling as its own line, e.g. 'Green waste haul-away and dump fee — 1 load @ $85'. Clients compare these numbers against other quotes, and itemized materials are much harder to dispute than a single job total.

It depends on your state or country. Some tax only materials, some tax lawn care and landscaping services too, and some exempt certain services. Check your local rules. Invoita applies one tax rate per invoice, and you can mark individual lines as not taxable, so you can tax the mulch and plants while leaving labor untaxed where that's the rule.
