Your VAT registration number
A VAT invoice has to show your VAT number. Add it once in the Tax ID field or as a line of your business address, and it sits under your name at the top of every invoice.
Net, VAT and gross, shown separately
Enter prices before VAT and set the rate (20%, for example). The invoice prints the subtotal, a VAT row with the rate, and the total, calculated to the penny, so the VAT charged is clear.
A unique, sequential number
HMRC and EU rules both expect each invoice to carry a unique number in a sequence. Invoita suggests the next number for you, and you can use any format, such as INV-2026-014.
Selling across borders
For EU B2B sales under the reverse charge, leave the VAT off, add the customer's VAT number to their address and write the reverse-charge note. Invoices print in 10 languages, including French, German, Spanish, Italian and Dutch.
How to Create a VAT Invoice
Add your details and VAT number
Enter your business name and address and your VAT registration number, then the customer's name and address (and their VAT number if they are a VAT-registered EU business).
Add lines and set the VAT rate
List each item with quantity and unit price before VAT. Name the tax 'VAT', set the rate, and mark any exempt or zero-rated lines not taxable. If the tax point differs from the invoice date, note it.
Download the PDF
Download the VAT invoice as a PDF and send it to your customer yourself. Keep a copy for your VAT records; a free account keeps every invoice saved for you.

VAT Invoice Tips
Only charge VAT once you're registered
You can't charge VAT or show a VAT number until you're VAT registered. In the UK, registration is compulsory once your taxable turnover passes the threshold (£90,000 over a rolling 12 months at the time of writing); check the current figure on GOV.UK. Below it, send an ordinary invoice with no VAT row.
Write the tax point when it differs
The tax point (time of supply) decides which VAT return the sale belongs to. If you deliver in September but invoice in October, write 'Tax point: 30 September 2026' in the notes, or add it as a custom field with a free account.
Show VAT in sterling on foreign-currency invoices
HMRC expects the VAT on a UK VAT invoice to be shown in sterling even when you invoice in euros or dollars. Invoita prints one currency per invoice, so write the VAT in GBP and the exchange rate you used in the notes.
One rate per invoice: split mixed-rate sales
If an order mixes standard-rated and reduced-rate goods, issue one invoice at each rate. Zero-rated or exempt items can sit on the same invoice as standard-rated ones by marking them not taxable; say in the notes which treatment applies.
EU invoices follow the same basics
Across the EU the VAT Directive asks for much the same: a sequential number, the date, both parties' names and addresses, your VAT number, the customer's VAT number for reverse-charge and intra-EU sales, a description, the taxable amount, the rate and the VAT due. Member states add their own rules, so check locally.
Frequently Asked Questions
HMRC's guidance for a full VAT invoice lists: a unique, sequential invoice number; your business name and address; your VAT registration number; the invoice date; the time of supply (tax point) if it differs from the invoice date; the customer's name and address; a description of the goods or services; for each item, the quantity, the unit price excluding VAT and the VAT rate; the total excluding VAT; any discount; and the total VAT charged. Check VAT Notice 700/21 on GOV.UK for the current rules, as this is a summary, not tax advice.
If the total including VAT is £250 or less, HMRC lets you issue a simplified invoice, whether or not you're a retailer. It needs your business name and address, your VAT registration number, the time of supply, a description of what was supplied and, for each VAT rate, the total including VAT and the rate charged. Exempt supplies can't go on a simplified invoice. Above £250 you need a full or modified invoice. Check the current threshold and conditions with HMRC before you rely on it.
Type it into the Tax ID field under your business name; in English it prints as 'Tax ID' followed by your number. If you'd rather it read 'VAT Reg. No.', type that line into your business address instead, which prints exactly what you write. The customer's VAT number, needed for EU reverse-charge sales, goes in their address block.
Not in Invoita. Each invoice has one tax rate, and any line can be marked not taxable, which prints an asterisk and a 'Not taxable' note. If you sell goods at both the standard and the reduced rate, issue a separate invoice for each rate. For exempt or outside-the-scope lines, mark them not taxable and say why in the notes.
Leave the tax rate empty so no VAT is charged, put your VAT number in your details and the customer's VAT number in their address, and write the reverse-charge wording in the notes, for example 'Reverse charge: customer to account for VAT'. The exact wording and whether the reverse charge applies depend on what you sell and where, so check with HMRC or your EU tax authority.
