What Makes a Valid Tax Invoice

The words 'Tax invoice'

The ATO expects a tax invoice to say it's intended to be one. Click the INVOICE title and rename it to TAX INVOICE; the heading changes on the page and the PDF.

Your ABN where it's seen

Your ABN belongs with your business name. Type 'ABN' and the number as a line of your business address so it prints exactly that way at the top of every invoice.

GST at 10%, shown clearly

Name the tax 'GST' and set 10%. The subtotal, the GST amount and the total print as separate rows, calculated to the cent, so your customer can claim the credit.

Buyer details from $1,000

For sales of $1,000 or more, the tax invoice must also show the buyer's identity or ABN. Add the customer's business name and their ABN in the Bill To block.

How to Make an Australian Tax Invoice

1

Add your business and ABN

Set the currency to AUD. Enter your business name, address and ABN, rename the title to TAX INVOICE if you're registered for GST, and add the customer's name (and ABN for larger sales).

2

Add lines and GST

List each item with quantity and price before GST. Name the tax 'GST', set it to 10, and mark any GST-free lines not taxable so the invoice shows which sales carry GST.

3

Download and send

Download the PDF and email it to your customer yourself. Add your BSB and account number in the notes so they can pay by bank transfer.

Australian Invoicing Tips

1

Prices go in before GST

Invoita adds GST on top of the prices you enter. If you've quoted a GST-inclusive price, divide it by 1.1 to get the price before GST, so the total on the invoice matches your quote.

2

Don't call it a tax invoice unless you're registered

Only GST-registered businesses can issue tax invoices. If you're not registered, keep the title as INVOICE, leave GST off, and consider writing 'No GST has been charged' in the notes so the customer isn't left wondering.

3

Check the ABN you quote

A mistyped ABN can delay payment or trigger withholding. Copy it from the Australian Business Register and save it in your template with a free account so it's right on every invoice.

4

Keep a copy for five years

The ATO generally expects businesses to keep records, including the tax invoices they issue, for five years. Download every PDF, or sign up free so each invoice is saved for you.

5

Mixed sales: show what's GST-free

When one invoice has taxable and GST-free items, the ATO wants it clear which is which. Lines marked not taxable print with an asterisk and a 'Not taxable' footnote, and the GST is worked out only on the taxable lines.

Frequently Asked Questions

The ATO says a tax invoice must show: that it's intended to be a tax invoice (the words 'Tax invoice' are the usual way); the seller's identity and ABN; the date of issue; a brief description of what was sold, including quantity and price; the GST amount, if any; and the extent to which each sale is taxable. For sales of $1,000 or more it must also show the buyer's identity or ABN. Check the current rules on ato.gov.au; this is a summary, not tax advice.

If you're registered for GST, you must give a tax invoice within 28 days when a customer asks for one, unless the sale is $82.50 or less including GST. Buyers need a tax invoice to claim GST credits for purchases over $82.50 including GST. Check the current threshold and timing with the ATO.

Yes, but issue an ordinary invoice, not a tax invoice. Keep the title as INVOICE, leave the tax rate empty so no GST row prints, and include your ABN. Only GST-registered businesses can issue tax invoices and charge GST. Registration is required once your GST turnover reaches $75,000 a year ($150,000 for non-profits) at the time of writing.

Businesses that pay you are generally required to withhold tax at the top marginal rate from a payment if you don't quote an ABN, unless an exception applies. Showing your ABN on the invoice avoids that. Add it as a line in your business details, for example 'ABN 12 345 678 901'.

Name the tax 'GST' and set the rate to 10. Enter your prices before GST and the invoice prints the subtotal, a GST (10%) row and the total including GST. For GST-free items, such as many basic foods or some medical services, mark the line not taxable; it prints with an asterisk and a 'Not taxable' note, which shows the extent each sale is taxable.
