Roofing Billing Problems, Fixed

Hidden Damage Changes the Price

You can't see rotten decking until the old shingles are off. If the extra sheets just show up as a bigger total, the homeowner feels ambushed. A separate change order line with the sheet count and per-sheet price you quoted up front keeps it fair and visible.

Insurance Jobs Need Itemized Detail

When a storm claim pays for the roof, the homeowner, the adjuster, and sometimes the mortgage company all read your invoice. Line-by-line materials, squares, and labor make it easy to match against the claim, instead of one lump sum nobody can check.

Material Orders Come Before Payment

A full replacement means thousands of dollars of shingles on the driveway before you're paid. A deposit invoice before the order and a final invoice that notes the deposit received keep your cash flow steady and the balance clear.

Weather Moves the Job, Not the Paperwork

Rain pushes a tear-off back three days and your crew is on another roof. Keep the estimate ready as a draft in your browser, then turn it into the final invoice in minutes when the job is finished.

Roofing Invoicing Tips

1

Price extras in the estimate

Put your per-sheet decking price and per-square price for extra layers in the estimate notes, e.g., 'Additional decking if required: $85 per sheet installed'. When you find rot, the change order line uses a price the customer already agreed to.

2

List materials the way the supplier does

'Materials — $9,800' tells nobody anything. 'Architectural shingles, Charcoal — 84 bundles', 'Synthetic underlayment — 9 rolls', 'Ice and water shield — 4 rolls', 'Ridge cap — 6 bundles' lets the homeowner and adjuster check quantities against the measurement report.

3

Never absorb the insurance deductible

The deductible is the homeowner's to pay. Waiving or absorbing it is illegal in several states and can void the claim. Bill the full job, and if the homeowner pays the deductible directly to you, note it on the invoice so everyone can see where each dollar came from.

4

Write the warranty on the invoice

State your workmanship warranty and that shingles carry the manufacturer's warranty, e.g., '10-year workmanship warranty; shingles covered by manufacturer limited warranty'. Put it in the terms so it prints on every job, and the customer has it in writing.

5

Add photos to your records, not the invoice

Before-and-after photos of damaged decking, flashing, and valleys back up your change order lines. Keep them with the job file and mention them in the notes ('Photos of replaced decking available on request') so the invoice stays clean but well supported.

Frequently Asked Questions

A roofing invoice should include your company name, phone, and contractor license number, the customer's name and the property address, the job dates, the roof size in squares, tear-off and disposal, each material (shingles, underlayment, ice and water shield, drip edge, flashing, vents, ridge cap) with quantity and price, any decking replaced, labor, dumpster and permit fees, change orders, tax where it applies, deposits already paid, the balance due, your payment terms, and your workmanship warranty.

Many roofers take a deposit large enough to cover the material order, often 10–50% depending on the job size and the deposit limits in your state (some states cap deposits on home improvement contracts). Send a deposit invoice, e.g., 'Deposit — full replacement, 28 squares — $5,000', due on receipt. On the final invoice, list every line and note 'Deposit of $5,000 received 3 June (INV-117)' so the balance is clear.

Treat it as a change order with its own line, priced per sheet, e.g., 'Replace damaged 7/16" OSB decking — 9 sheets @ $85'. Agree the per-sheet price in the original estimate so the customer isn't surprised, take photos before you cover it, and note the date they approved the extra work. Clear change order lines are the most common thing that keeps a roofing bill from turning into a dispute.

Yes. Marking up shingles, underlayment, and accessories is standard; it covers ordering, delivery coordination, waste, and standing behind the materials. Most roofers list materials at their selling price per bundle, roll, or square. On insurance jobs, make sure your lines and quantities match what you can support with photos and measurements, and keep your supplier invoices.

It depends on where you work. In some places only materials are taxable, in others the whole job is taxed as a real property improvement, and some treat the contractor as the end consumer of the materials. Invoita applies one tax rate per invoice and lets you mark lines as not taxable, so you can match whichever rule applies. Check with your state or a local accountant.
