DJ Billing Problems, Fixed

Bookings Get Cancelled

You turned down three other events for that Saturday, then the client cancels. A booking deposit invoice with your cancellation policy in the terms puts it in writing that the retainer holds the date and isn't refunded on short notice.

Overtime Becomes an Argument

The dance floor is full at 11 pm and the couple asks for one more hour. If the final invoice shows a separate overtime line with the hours and the rate from your booking terms, there's nothing to argue about the next morning.

Add-Ons Get Lost in the Package

Uplighting, a second sound system for the ceremony, wireless mics, a fog machine, a photo booth. Give each add-on its own line so the client sees what they chose and what it cost, and next time they know what to book.

Travel Eats Your Margin

A venue two hours away means fuel, tolls, parking, and a longer load-in. A travel line with the miles and your rate, or a flat out-of-area fee, covers the real cost instead of quietly absorbing it.

DJ Invoicing Tips

1

Spell out what the package includes

'Wedding package — 5 hrs reception, ceremony sound, MC services, wireless mic, dance floor lighting — $1,400' tells the client exactly what they booked, and makes it obvious when a later request is an add-on rather than part of the deal.

2

Bill the retainer when you lock the date

Issue the deposit invoice the day the client confirms, due on receipt, and don't hold the date until it's paid. It filters out clients who aren't committed and protects the weekend you're giving up.

3

Write your overtime rate in the terms

Add 'Overtime billed at $150 per hour in 30-minute increments, agreed on the night with the client or planner' to the terms on both the quote and the final invoice. When the overtime line appears, the client already saw the rate twice.

4

Show discounts as discounts

Giving a friend rate or an off-season price? List the package at full price and add a discount line. The client sees the value of what they got, and next year's quote at full price doesn't look like a sudden increase.

5

Get the balance before the last song

Set the balance due date before the event, or due on the event day for smaller gigs, and list the payment methods you accept in the notes. Collecting after the party, when the client is on honeymoon, is where DJs wait longest.

Frequently Asked Questions

A DJ invoice should include your name or business name and contact details, the client's name, the event type, date, venue, and start and end times, your performance package or hours with the rate, any overtime, add-ons such as uplighting, a photo booth, ceremony sound, or an extra speaker setup, MC services, travel and parking fees, the booking deposit already paid, the balance due, your payment terms, and your cancellation policy.

Many DJs take 25–50% or a flat retainer when the date is booked, because the booking takes that date off the market. Send a deposit invoice, e.g., 'Booking retainer — Wedding reception, 21 June, The Grand Hall — $500', due on receipt. On the final invoice, list the package and add-ons and note 'Retainer of $500 received 9 Jan (INV-012)' so the balance is clear. Most DJs ask for the balance before or on the event day.

Put overtime on its own line with the hours and rate, e.g., 'Overtime, 11 pm–12:30 am — 1.5 hrs @ $150/hr'. State your overtime rate in the booking terms and get the client or planner to agree before you keep playing, so the extra line on the final invoice is no surprise.

Most DJs include a local radius in the package and charge mileage or a flat travel fee beyond it, e.g., 'Travel, 64 miles round trip beyond 30-mile radius @ $0.70/mi'. Early setup for a ceremony or a venue with a long load-in can be its own line too. Listing them separately shows the client what the performance costs and what the logistics cost.

It depends on where you perform. Many places don't tax entertainment services, but some do, and equipment rentals or lighting can be taxed differently. Invoita applies one tax rate per invoice and lets you mark individual lines as not taxable, so you can tax only the lines that need it. Check the rules where you work.
