No-Heat Calls at Night Need Clear Pricing
A dead furnace in January means an after-hours call and a premium rate. If the invoice only says '$580', the homeowner pushes back. Show the emergency call fee, the arrival time, hours at your after-hours rate, and the igniter or board you replaced, and the price explains itself.
Refrigerant Charges Get Questioned
Customers have heard refrigerant is expensive and want to know exactly how much went in. Give it its own line with the type, pounds, and price per pound, and note any leak search or repair, so the charge is plain to see.
Equipment Installs Have Long Parts Lists
A system change-out can mean the condenser, air handler or furnace, line set, pad, disconnect, whip, thermostat, drain line, and haul-away of the old unit. Invoita gives each one its own line with quantity and price, so a five-figure total adds up in front of the customer.
You Invoice From the Truck
The system is running again and the customer wants the bill before you leave. Invoita works in your phone's browser with no app to install: add the lines, download the PDF, and text or email it to them yourself before you pull out of the driveway.
How to Create an HVAC Invoice
Add Your Business and License
Enter your business name, phone, logo, and HVAC license number. Add the customer's name and the service address, plus the make, model, and serial number of the unit you worked on.
Itemize the Visit
Add the diagnostic fee, labor, refrigerant by the pound, each part, and any equipment or permit fees. Mark labor lines not taxable if only parts are taxed where you work, then set your payment terms.
Download and Hand It Over
Download the PDF and text or email it to the customer yourself. Sign up free to save repeat customers and property managers, keep your layout as a template, and track which invoices are paid.
Features HVAC Contractors Need
HVAC Invoicing Tips
Separate the diagnostic fee from the repair
Put 'Diagnostic / service call — $99' on its own line. If you waive it when the customer approves the repair, add a discount on that line so they see the credit instead of a fee that quietly disappeared. It also shows the value of the visit when they decline the repair.
Write what you found, not just what you did
'AC repair — $340' invites questions. 'No cooling: failed 45/5 MFD dual run capacitor, compressor and fan not starting; replaced capacitor, tested amp draw, system cooling at 18°F split' explains the price and gives you a record if the unit fails again next summer.
Record model and serial numbers
Write the make, model, and serial number of every unit you service or install in the description or notes. It makes warranty registration and parts lookups faster, and it helps the customer, their home warranty company, and the next tech who opens the cabinet.
Quote replacements as an estimate first
For a full system replacement, rename the title to ESTIMATE and give the customer the itemized equipment, install labor, permit, and haul-away lines before you order anything. When the job is done, rename it back to INVOICE and adjust anything that changed, so the final bill matches what they approved.
Show maintenance plan pricing as its own line
If the customer joins your maintenance agreement on the visit, add it as a separate line ('Annual maintenance plan — 2 tune-ups, priority service — $189') rather than folding it into the repair. Customers see what the plan costs and what it includes in one place.
Frequently Asked Questions
An HVAC invoice should include your business name, phone, and mechanical or HVAC license number, the customer's name and the service address, the date of the visit, the system worked on (make, model, and serial number where you have it), the problem found and the work done, the diagnostic or service call fee, labor, each part with quantity and price, refrigerant by the pound, any equipment installed, permit fees, tax where it applies, the total due, your payment terms, and your labor warranty.
Bill it by the pound on its own line, with the refrigerant type, e.g., 'R-410A refrigerant — 3 lbs @ $95/lb'. Customers question refrigerant charges more than anything else, so a clear quantity and rate helps. If you found and repaired a leak, say so in the description; a recharge with no leak repair is a call-back waiting to happen, and the note shows you told them.
Most contractors do, because a new furnace, heat pump, or condenser has to be ordered and paid for before install day. Send a deposit invoice first, e.g., 'Deposit, 50% — 3-ton heat pump system replacement — $4,600', due on receipt. On the final invoice, list the full system and install lines and note 'Deposit of $4,600 received 12 May (INV-208)' so the balance due is clear.
Yes. Marking up parts and equipment is normal in the trade; it covers sourcing, the trip to the supply house, carrying stock on the truck, and handling warranty claims. Most techs list parts at their selling price ('Dual run capacitor 45/5 MFD — 1 @ $185'). Keep supplier invoices in case a customer, home warranty company, or insurer asks for them.
In many places equipment and parts are taxable while repair labor is not, and installation work can be treated differently again. Invoita applies one tax rate per invoice, and you can mark individual lines as not taxable, so you can tax the parts and equipment and leave labor and the diagnostic fee untaxed. Rules vary by state and country, so check what applies where you work.
