Pressure Washing Billing Problems, Fixed

Square-Foot Pricing Needs to Add Up

When you price by the square foot, customers want to see the area and the rate. Give each surface its own line with square footage and price, and the totals calculate as you type, so there's no arithmetic to argue about on the driveway.

Soft Wash and Add-Ons Look Like Upsells

Roof soft washing, gutter brightening, rust removal, and sealing all cost more than a standard wash. Listing each one separately, with what it does, shows the customer they chose those extras rather than finding them buried in a higher total.

You Invoice From the Trailer

The job is done and the customer is home now. Invoita works in your phone's browser with no app to install: add the surfaces, download the PDF, and text or email it to them yourself while you pack up.

Commercial Clients Want Formal Invoices

Storefronts, restaurants, HOAs, and property managers need an invoice with a number, due date, and their PO before accounts payable will pay. The Corporate template boxes your details and theirs and puts the number, dates, and amount due in one strip.

How to Create a Pressure Washing Invoice

1

Add Your Business and the Property

Enter your business name, phone, and logo. Add the customer's name and the property address, which may differ from their billing address for landlords, HOAs, and property managers.

2

Itemize Each Surface

Add each surface with its square footage and rate, or a flat package price, then any add-ons, sealers, or a minimum charge adjustment. Set your tax and payment terms.

3

Download and Hand It Over

Download the PDF and text or email it to the customer yourself. Sign up free to save repeat customers and commercial accounts, keep your layout as a template, and track which invoices are paid.

Pressure Washing Invoicing Tips

1

Name the method on every line

'Vinyl siding, 2-story — soft wash, low pressure, mildew treatment — $395' and 'Concrete driveway, 1,100 sq ft — surface cleaner, hot water, post-treated — $198' tell the customer what you did and why each surface cost what it did.

2

Bundle with a visible discount

If you offer a package deal for house wash plus driveway plus deck, list each service at its normal price and add a discount line or a whole-invoice discount. The customer sees the full value and the saving, which sells the bundle again next year.

3

Put your disclaimers in the terms

Note what you can't guarantee, e.g., 'Oil and rust stains lightened, full removal not guaranteed. Not responsible for pre-existing damage to loose siding, oxidized paint, or failing caulk.' It sets expectations before the customer looks closely at the result.

4

Quote from photos, invoice from the job

Build an ESTIMATE from the customer's photos and measurements, then rename it to INVOICE after the job and adjust the square footage if the patio turned out bigger than described. The customer sees the same lines they approved.

5

Keep commercial accounts on terms

Homeowners pay best on the spot, so set residential invoices to 'Due on receipt'. Storefronts and property managers usually need Net 15 or Net 30 and their PO number on the invoice; add it to the description or notes so accounts payable can match it.

Frequently Asked Questions

A pressure washing invoice should include your business name and phone, the customer's name and the property address, the service date, each surface cleaned (house siding, driveway, sidewalk, patio, deck, fence, roof) with its size or a flat price, the method used (pressure wash or soft wash), any add-ons such as gutter brightening, rust or oil stain treatment, or deck sealing, travel or minimum charges, tax where it applies, the total due, and your payment terms.

Most companies price flat surfaces by the square foot ('Driveway, 1,100 sq ft @ $0.18'), house washes by the size of the home or a flat price, and decks and fences by square foot or linear foot. In Invoita you can rename the Qty column to Sq ft, or remove Qty and Rate for flat package prices like 'House wash, 2-story, up to 2,500 sq ft — $425'.

Many pressure washing businesses set a minimum job price so small jobs still cover setup, water, chemicals, and travel. If a job falls under it, show the services and then a line like 'Minimum service charge adjustment — $45' so the customer sees why the total is higher than the surfaces alone. A separate trip fee for jobs outside your service area works the same way.

Yes. Most companies build normal detergent and surfactant into the price, but specialty treatments are often billed on their own lines, such as rust removal, oil stain treatment, or sealer applied after cleaning. Listing them separately ('Deck sealer, semi-transparent — 320 sq ft @ $1.25') shows the customer what was extra and why.

It depends on where you work. Some states tax cleaning services, including pressure washing, and others don't; materials such as sealer may be taxed differently. Invoita applies one tax rate per invoice and lets you mark individual lines as not taxable, so you can tax only what's taxable. Check your state's rules.
