What a GST Invoice Has to Show

GSTIN for both parties

Your 15-character GSTIN goes under your business name; a registered buyer's GSTIN goes in their address block with their state and state code. Without the buyer's GSTIN they may not be able to claim input tax credit.

A number unique for the year

GST invoice numbers must run in sequence, be unique for the financial year and stay within 16 characters (letters, digits, hyphens and slashes). A format like INV/26-27/001 works, and 'Start new' gives you the next number.

Place of supply decides the tax

Intra-state sales carry CGST plus SGST; inter-state sales carry IGST. Write the place of supply on the invoice and name the tax row to match: 'CGST + SGST' or 'IGST'.

HSN or SAC on every line

Each line needs its HSN code (goods) or SAC (services). Type it into the line description, for example 'Steel brackets, HSN 7326', or rename the Description column to 'Description / HSN'.

How to Create a GST Invoice

1

Add your business and GSTIN

Set the currency to INR. Enter your business name, address and GSTIN, then the buyer's name, address, GSTIN, state and state code. Rename the title to TAX INVOICE if you want those words at the top.

2

Add items with HSN or SAC

List each item with its HSN or SAC code, quantity and rate. Name the tax 'IGST' or 'CGST + SGST', set the GST rate, and write the place of supply and the CGST/SGST split in the notes.

GST Invoicing Tips

1

Check whether you need to register

Only GST-registered businesses can issue a tax invoice and charge GST. Registration is generally required above ₹40 lakh turnover for goods and ₹20 lakh for services, with lower limits in some states, mainly the special category states, and some businesses must register regardless. Confirm your position on the GST portal.

2

Use a bill of supply when you can't charge GST

Composition taxpayers and suppliers of exempt goods or services issue a bill of supply instead of a tax invoice. Rename the title to BILL OF SUPPLY and leave the tax rate empty so no GST row prints.

3

Know how many HSN digits you need

At the time of writing, businesses with turnover up to ₹5 crore show 4-digit HSN codes on B2B invoices and businesses above ₹5 crore show 6 digits. These limits have changed before, so check the current notification.

4

Use the right GST rate after the 2025 changes

From 22 September 2025 most goods and services moved to two main rates, 5% and 18%, with 40% for a short list of luxury and sin goods. Look up your item's current rate on the CBIC or GST portal rather than relying on an old rate chart.

5

Unregistered buyers over ₹50,000

For a sale of ₹50,000 or more to an unregistered buyer, the invoice should also carry the buyer's name and address, the delivery address, and the state name and code. Put all of it in the buyer's address block.

Frequently Asked Questions

Rule 46 of the CGST Rules asks for: the supplier's name, address and GSTIN; a consecutive invoice number of up to 16 characters, unique for the financial year; the invoice date; the recipient's name, address and GSTIN if registered; the HSN code for goods or SAC for services; a description, quantity and unit; the total and taxable value after discounts; the rate and amount of CGST, SGST/UTGST or IGST, and cess if any; the place of supply with the state name for inter-state supplies; whether tax is payable on reverse charge; and a signature. Check the current rules on the GST portal or with your CA.

Not as two calculated rows. Invoita applies one tax rate per invoice and prints one tax row. For an intra-state sale at 18%, name the tax 'CGST + SGST' and set the rate to 18; the invoice prints the combined tax. Then write the split in the notes, for example 'CGST 9%: ₹900, SGST 9%: ₹900'. For an inter-state sale, name the tax 'IGST' and it is one row anyway. If your accountant needs CGST and SGST as separate calculated rows, use dedicated GST billing software.

Put your GSTIN in the Tax ID field under your business name, or type 'GSTIN: 29ABCDE1234F1Z5' as a line of your business address so it reads exactly that way. The buyer's GSTIN, state and state code go in their address block. Write the HSN or SAC code in each line's description, and the place of supply in the notes or the buyer's address.

No. Businesses above the e-invoicing turnover threshold (₹5 crore aggregate turnover at the time of writing) must register B2B invoices on the Invoice Registration Portal to get an IRN and a signed QR code. Invoita doesn't connect to the IRP, so it suits businesses below that threshold. Check whether e-invoicing applies to you on the GST portal.

Not in Invoita: each invoice has one GST rate. You can mark lines not taxable, which prints an asterisk and a 'Not taxable' note for exempt or nil-rated items. If a sale mixes items at 5% and 18%, issue one invoice for each rate.
