Freight Billing Problems, Solved

Factors Reject Messy Invoices

A missing load number, a total that doesn't match the rate con, or the wrong remit-to address can hold up funding. A clean, consistent invoice with every reference number in place gets through review the first time.

Accessorials Get Lost

Three hours of detention and a lumper receipt are easy to forget by the time you invoice. Put each accessorial on its own dated line with the times and receipt number, so it's billed and backed up.

Brokers Need Specific Details

Pickup and delivery locations, dates, load number, BOL, PRO, MC number — every broker's AP team checks a slightly different list. Custom fields on a free account keep all of it at the top of the invoice, every time.

You Invoice From the Cab

Invoita runs in your phone's browser with no app to install. Build the invoice right after delivery while the BOL is in your hand, download the PDF, and submit it before you roll to the next pickup.

How to Create a Trucking Invoice

1

Add Your Carrier Details

Enter your company name, logo, address, and MC/DOT numbers. Put the broker or shipper in the bill-to, and the load, BOL, and PRO numbers in the notes or custom fields.

2

Itemize the Load

Add linehaul by miles or as a flat rate, fuel surcharge on its own line, then each accessorial: detention, lumper, layover, stop-offs. Write pickup and delivery locations and dates in the descriptions.

3

Download and Submit

Download the PDF and submit it with the signed BOL to the broker or your factoring company yourself. Sign up free to save brokers as clients and track which loads are paid.

Trucking Invoicing Best Practices

1

Match the rate confirmation line for line

If the rate con says $1,913.45 linehaul and $406.12 fuel, the invoice should show exactly those two lines and amounts. Brokers and factors check invoices against the rate con, and any difference, even a rounded cent, can send it back for correction.

2

Put every reference number near the top

Load or rate con number, BOL number, PRO number, and your MC number belong on every invoice. These are what AP teams search by, and an invoice they can't match to a load sits in a queue.

3

Write pickup and delivery details into the linehaul line

Use something like 'Linehaul — PU Oct 13 Dallas, TX / DEL Oct 14 Atlanta, GA — 781 mi @ $2.45'. Origin, destination, and dates in one place make the invoice self-explanatory for anyone who picks it up.

4

Back up detention with in and out times

Write 'Detention at receiver — in 7:00, out 12:00, 2 hrs free, 3 hrs @ $50/hr = $150' rather than 'Detention — $150'. Billable time with the actual check-in and check-out times is far harder to dispute, especially when it matches the signed BOL.

5

Invoice the same day you deliver

The signed BOL is in hand and the details are fresh. Invoicing immediately gets the load into the broker's or factor's payment cycle sooner, and nothing gets forgotten between loads.

Frequently Asked Questions

A trucking invoice should include your company name, address, MC and DOT numbers, an invoice number and date, the bill-to party (broker, shipper, or factoring company's client), the load or rate confirmation number, the BOL and PRO numbers, pickup and delivery locations with dates, the linehaul rate (per mile or flat), fuel surcharge, each accessorial on its own line, the total due, the payment terms, and where to remit payment.

Bill the way the rate confirmation is written, because that is what the broker or shipper will check your invoice against. For per-mile loads, rename the Qty column to Miles and write 'Linehaul — Dallas, TX to Atlanta, GA — 781 mi @ $2.45 = $1,913.45'. For flat-rate loads, use one line with quantity 1, e.g. 'Linehaul, flat rate per rate con #48213 — $2,100.00'. You can also remove the Qty and Rate columns entirely for flat-rate invoices.

Give every accessorial its own line with the facts that justify it. Detention: 'Detention at receiver, Oct 14 — arrived 7:00, released 12:00, 2 hrs free, 3 hrs @ $50 = $150'. Lumper: 'Lumper fee, receipt #A-55102 — $185' (reimbursed at cost). Others include layover, TONU (truck ordered not used), stop-off charges, tarping, and driver assist. Bill only what the rate confirmation allows and keep the receipts and in/out times ready.

Yes. Keep fuel surcharge separate from linehaul, e.g. 'Fuel surcharge — 781 mi @ $0.52 = $406.12', or as a flat amount if that is how it was agreed. Brokers and shippers often account for fuel separately, and a combined 'all-in' figure that doesn't match the rate con line by line is a common reason invoices get kicked back.

Factors want an invoice that matches the rate confirmation exactly: the same load number, the same amounts, and the correct bill-to. Most also require their remit-to address on the invoice once a notice of assignment is in place, and the signed BOL or proof of delivery submitted with it. Invoita doesn't attach files, so put the BOL number on the invoice and submit the PDF together with the signed BOL through your factor's portal or email.
