What Canadian Invoices Need

Your GST/HST registration number

From $100, the CRA expects your GST/HST number on the invoice so your customer can claim input tax credits. Add it once under your business name and it prints on every invoice.

The rate depends on the province

GST is 5%; HST is 13% in Ontario and 14% to 15% in the Atlantic provinces; BC, Saskatchewan, Manitoba and Quebec add their own sales tax. Name the tax row to match and set the rate for where the sale is made.

Tax shown, not buried

Enter prices before tax and the invoice prints the subtotal, the GST or HST row with its rate, and the total, calculated to the cent.

English or French

Switch the invoice language to French and the headings, dates and number formats change with it, so the same template works for clients in Quebec and across Canada.

How to Make a Canadian Invoice

1

Add your business and GST/HST number

Set the currency to CAD. Enter your business name, address and GST/HST number (and QST number in Quebec), then the customer's name and address.

2

Add lines and the tax

List each item with quantity and price before tax. Name the tax 'GST' or 'HST' and set the rate for the customer's province, and mark zero-rated or exempt lines not taxable.

3

Download and send

Download the PDF and email it to your client yourself. Add your payment terms and how to pay (Interac e-Transfer email or bank details) in the notes.

Canadian Invoicing Tips

1

Charge tax based on where the customer is

GST/HST generally follows the place of supply, often where the goods are delivered or the customer is, not where your business is. An Ontario business selling to a client in Alberta usually charges 5% GST, not 13% HST. Check the CRA's place-of-supply rules for your situation.

2

Know the current provincial rates

At the time of writing: GST 5% in Alberta and the territories; HST 13% in Ontario, 14% in Nova Scotia and 15% in New Brunswick, Newfoundland and Labrador and PEI; plus PST of 7% in BC and Manitoba and 6% in Saskatchewan, and QST of 9.975% in Quebec. Rates change, so confirm them with the CRA and your province.

3

Quebec: GST plus QST

Quebec sales carry 5% GST and 9.975% QST, both on the price before tax, for 14.975% in total. Invoita prints one tax row, so enter 14.975 named 'GST + QST' and write each amount and both registration numbers in the notes, or check with Revenu Québec whether separate rows are required for your invoices.

4

Show the buyer's name and terms from $500

At $500 or more, the CRA asks for the buyer's name, the payment terms and a description of each item. Fill in the Bill To block and pick payment terms, and the due date is printed for you.

5

Keep records for six years

The CRA generally expects you to keep business records, including copies of your invoices, for six years from the end of the tax year they relate to. Download every PDF, or sign up free so each invoice is saved for you.

Frequently Asked Questions

The CRA's input tax credit rules set the detail by the invoice total. Under $100: your business name, the invoice date and the total. From $100 to $499.99, add your GST/HST registration number and the GST/HST charged (or a statement that the total includes it, with the rate). At $500 or more, also add the buyer's name, the payment terms and a description of each item. Older guides quote $30 and $150; check the current thresholds on canada.ca, as this is a summary, not tax advice.

Name the tax 'GST' or 'HST' and set the rate for the customer's province, for example HST 13 for Ontario or GST 5 for Alberta. Enter prices before tax and the invoice prints the subtotal, the tax row with its rate and the total. Mark any zero-rated or exempt lines not taxable; they print with an asterisk and a 'Not taxable' note.

Not as two calculated rows. Invoita applies one tax rate per invoice. For a sale with GST plus PST or QST, you can enter the combined rate (5% GST plus 7% BC PST is 12%), name the tax 'GST + PST', and write each tax's amount in the notes. Provincial rules can require the provincial tax to be shown separately, so check with your province; if it must be its own calculated row, use software that supports two taxes.

Your GST/HST registration number is your 9-digit business number followed by RT and four digits, for example 123456789 RT0001. Put it in the Tax ID field under your business name, or type 'GST/HST No. 123456789 RT0001' as a line of your business address so it reads exactly that way. A Quebec QST number can go on the next line.

Not until you have to register. You're generally a small supplier, and don't have to register, until your taxable sales pass $30,000 over four consecutive calendar quarters or in a single quarter, though you can register voluntarily. Until you're registered, leave the tax empty and don't show a GST/HST number. Check the current rules with the CRA.
