How to Make an Invoice Template in Google Docs

The line item table looks like this. In Google Docs, every number in it is typed by hand.

DescriptionQtyRateAmount
Copywriting, homepage1380.00380.00
Blog posts, 1,200 words3140.00420.00
Editing (hours)2.550.00125.00
Subtotal925.00
Tax (8%)74.00
Total due999.00
Change one quantity and you recalculate the line, the subtotal, the tax and the total yourself.
  1. 1

    Set up the page

Open docs.new for a blank document. In File > Page setup choose the paper size (Letter or A4) and set the margins to about 0.75 in (1.9 cm) so the line item table has room.

  2. 2

Build the header with a borderless table

Insert > Table, 2 columns by 2 rows. Right-click it, open Table properties and set the border width to 0 pt. Top left: your logo (Insert > Image) and business name, address and email. Top right: INVOICE, the invoice number, issue date and due date. Bottom left: Bill to with the client's name and address.

  3. 3

    Add the line item table

Insert a second table with 4 columns and 8 rows: Description, Qty, Rate, Amount in row 1, line items in rows 2 to 5, then Subtotal, Tax and Total due in rows 6 to 8. Make row 1 bold, right-align the number columns, and right-click row 1 and choose Pin header row so it repeats if the invoice runs to a second page.

  4. 4

    Work out the amounts

Google Docs tables can't calculate. Multiply quantity by rate for each line, add the lines for the subtotal, multiply the subtotal by the tax rate and round to the cent, then add the two for the total, and type every result in. To have it calculated instead, build the line items in Google Sheets, copy the range, paste it into the doc and choose Link to spreadsheet; click Update on the table whenever the sheet changes.

  5. 5

Add the dates and payment terms

Type the issue date and a due date, for example 30 days later for Net 30. Below the table add your payment terms and the details the client needs to pay you, such as bank details, so nothing is missing when the invoice arrives.

  6. 6

Make a copy per invoice and download the PDF

Keep this document as your blank template and use File > Make a copy for each invoice, named with the invoice number and client. When it's filled in, choose File > Download > PDF Document (.pdf) and send the PDF rather than a link to the doc.

Where Google Docs Invoices Break

Docs can't add up

There are no formulas in Google Docs tables. Every line total, the tax and the total are worked out on a calculator and typed in, and one changed quantity means redoing all of them.

A doc link is an editable invoice

Share the doc instead of a PDF and the client sees a live file that can change after you send it, and with edit access they can change it too. That's not a record anyone can rely on.

The layout shifts outside Docs

Download it as .docx or open it in another app and tables, fonts and spacing move. Even in Docs, a long description can push the totals onto a second page without you noticing.

Numbering is a copy-and-edit job

Each invoice is a copy of the last one with the number, dates and client changed by hand. Skip one field and you send a duplicate number or an old due date.

The Faster Route: Fill It In Online

1

Pick a template

Choose Classic, Modern, Minimal, Bold, Corporate or Elegant. The header, Bill to and line item table are already laid out, like the Docs version above.

2

Type on the invoice

Add lines with quantity and rate. Line totals, discounts, tax and the total are calculated as you type, and any line can be marked not taxable.

3

Download the PDF

Download a print-ready PDF with no watermark and send it yourself. Upload it to Google Drive if you keep your files there; Drive previews it.

Tips If You Stick With Google Docs

1

Link the totals from Google Sheets

If you must use Docs, do the numbers in a sheet and paste the range into the doc as a linked table. The doc then shows calculated totals, as long as you click Update before you download.

2

Keep one master, copy it each time

Never edit last month's invoice into this month's. Keep a clean blank and use File > Make a copy, naming the copy with the invoice number and client, such as INV-2026-0014 Acme.

3

Check the page before you download

Open File > Print to preview the pages, or download a test PDF, to make sure the totals and payment details sit on page one. Shorten long descriptions rather than letting the table split.

4

Number invoices in sequence

Keep a running list of invoice numbers, clients, dates and amounts, for example in a sheet in the same Drive folder. Numbers must be unique and should never be reused.

5

Send the PDF, keep the doc private

Download the PDF and attach it to your email. Keep the folder with your invoice docs unshared, so clients never see each other's invoices.

Frequently Asked Questions

Yes. Download the free Word template (.docx) at the top of this page and open it in Google Docs: in Google Drive choose New > File upload, then open the file and choose File > Save as Google Docs. The tables and layout carry over. Docs does not calculate totals, so for automatic maths use the Excel template in Google Sheets, or fill the invoice in online and download the PDF.

Google's own template gallery leans on Sheets for invoices: Google Sheets has an Invoice template under File > New > From template gallery. Most Google Docs invoice templates are documents other people share, which you copy with File > Make a copy. Either way you're filling in the totals, numbering and dates yourself.

No. Tables in Google Docs have no formulas, so every line total, the tax and the total are typed by hand. The workaround is to build the line items in Google Sheets with formulas such as =C5*D5 and =SUM(E5:E15), then paste the range into the doc as a linked table and click Update when the numbers change.

Open the invoice and choose File > Download > PDF Document (.pdf). Before you do, check File > Page setup so the paper size matches your client's (A4 or Letter), otherwise the line item table can run onto a second page.

It's better to send the PDF. A link shows the live document, which can change after you send it, may expose the version history or your other invoices if the folder is shared, and with edit access lets the client change the numbers. A PDF is a fixed record of what you issued.

It's free, with no signup and no watermark on the PDF. Invoita doesn't email or text invoices and doesn't take payments: you download the PDF and send it yourself, the same as a Docs export. A free account is optional and adds saved clients, saved templates and paid/unpaid tracking.

Let the Totals Calculate Themselves

Pick a template, type on the page and download your PDF. Totals and tax calculated for you. Free, no signup, no watermark.
