Moving Billing Problems, Fixed

Hourly Moves Need a Clear Clock

Customers watch the clock all day and question the total at the end. An invoice that shows start and finish times, any break deducted, the crew size, and the hourly rate makes the labor charge easy to check against what they saw.

Travel Time Surprises Customers

The drive from your yard and back is real cost, but customers don't always expect it. A separate travel line, with the policy stated in the estimate, turns a surprise into something they already agreed to.

Materials Add Up Box by Box

Boxes, tape, paper, mattress bags, and wardrobe cartons can run into the hundreds on a packing job. Each material on its own line with a count lets the customer see what was used instead of one big 'materials' charge.

Stairs, Long Carries and Heavy Items

A third-floor walk-up, a 75-foot carry from the truck, or a piano all take extra time and people. Listing those charges separately, at the rates in your estimate, shows the customer exactly why this move cost more than the last one.

Moving Invoicing Tips

1

Write the times on the labor line

'3 movers + 26 ft truck, 8:00 am–2:30 pm less 30 min lunch — 6 hrs @ $165/hr' shows exactly how the hours were counted. It's the single best way to stop the 'you were slow on purpose' complaint.

2

Put your minimum in the estimate

If you have a minimum, such as 3 hours, write it in the estimate and on the invoice, e.g., 'Labor (3-hour minimum applies) — 3 hrs @ $165/hr'. On a quick studio move the customer sees why they were billed for 3 hours when the job took 2.

3

Record the valuation option

Write in the notes which protection the customer chose, e.g., 'Basic released value protection, $0.60 per lb per article, selected by customer'. If something is damaged, the invoice shows what was agreed before the first box moved.

4

Turn the estimate into the invoice

Build an ESTIMATE with your expected hours and materials, then rename it to INVOICE on move day and replace the estimated hours and box counts with the actual numbers. The customer sees the same lines they approved, with real quantities.

5

Collect before the truck leaves

Set residential moves to 'Due on receipt' and list the payment methods you accept in the notes. Keep Net 15 or Net 30 for office moves and corporate relocations that pay through accounts payable.

Frequently Asked Questions

A moving invoice should include your company name, phone, and any license or DOT number your state or country requires, the customer's name, the move date, the pickup and delivery addresses, the crew size and truck, hours worked with start and finish times, travel time or a trip fee, packing materials with quantities, extra charges such as stairs, long carries, heavy items, or storage, the valuation or protection option chosen, any deposit already paid, the balance due, and your payment terms.

Local movers commonly bill a flat travel fee or 'double drive time', meaning the drive from the yard to the first stop and back from the last stop. Whichever you use, put it on its own line, e.g., 'Travel time, yard to pickup and return — 1 hr @ $165/hr', and state the policy in the estimate so the customer knows the clock covers the drive.

Many local movers take a small booking deposit to hold the date and crew, especially for weekends and month-end. Send a deposit invoice, e.g., 'Booking deposit — 2-bedroom move, 30 Aug — $150', due on receipt. On the final invoice, list the hours and charges and note 'Deposit of $150 received 18 Aug (INV-331)' so the balance is clear. Interstate moves in the US have their own federal rules on estimates and paperwork, so check those before you set deposit terms.

List each material with quantity and price, e.g., 'Medium boxes — 25 @ $3.50', 'Wardrobe boxes — 4 @ $16', 'Mattress bags — 2 @ $12', 'Packing paper — 2 bundles @ $28'. Selling materials at a markup over your cost is normal. A clear count lets the customer check what was used, and lets you credit unused boxes if you offer that.

It depends on the state. Many states don't tax moving labor or transportation, but packing materials sold to the customer and storage are often taxable. Invoita applies one tax rate per invoice and lets you mark individual lines as not taxable, so you can tax the materials and leave labor and the truck untaxed. Check the rules where you operate.
