The Payer Isn't the Student
The parent pays, the child attends, and sometimes two children share one bill. Invoita puts the parent in the bill-to and the student's name on each line, so nobody has to guess which sessions belong to whom.
Sessions vs Packages
Some families pay after each month, others prepay a block of ten. Rename the Qty column to Sessions, bill a month of dated sessions at your hourly rate, or bill a package as one line with its terms in the notes.
Late Cancellations Cause Friction
Charging for a no-show feels awkward when the policy was only ever mentioned once. Put your cancellation terms on every invoice and bill a late cancel as its own dated line, and the conversation becomes a lot shorter.
Admin Eats Into Teaching Time
Rebuilding the same spreadsheet each month for every family adds up. With a free account you save each family as a client and reuse your look as a template, so a monthly invoice takes a couple of minutes.
How to Create a Tutoring Invoice

List the Sessions
Add each session or week with its date, subject, and length, or a single line for a prepaid package. Apply sibling or package discounts and set your payment terms.

Features for Tutoring Invoices
Tutoring Invoicing Best Practices
Date every session on the invoice
Write 'Oct 2, Oct 9, Oct 16, Oct 23 — Algebra II, 60 min each — 4 × $65 = $260' instead of 'October tutoring — $260'. Parents check invoices against their calendar, and dated lines answer the question before they ask it.
Bill the person who pays, name the person who learns
Put the parent or guardian in the bill-to and the student's name on every line. When siblings share an invoice, start each line with the child's name so the split is obvious and either parent can follow it.
Print your cancellation policy on every invoice
A one-line term such as 'Cancellations with less than 24 hours' notice are charged at the full session rate' turns a late-cancel charge from a negotiation into a reminder of something they've already seen many times.
Show the package balance in the notes
For prepaid packages, note what has been used: '10-session package purchased Sep 1 — 7 used, 3 remaining, valid until Dec 20'. Families renew more readily when they can see exactly where they stand.
Invoice on a fixed schedule
Pick one rhythm and stick to it: after each session, at the end of every month, or when a package is bought. Set matching payment terms, such as due on receipt for packages or Net 7 for monthly bills, so payment dates are predictable for both sides.
Frequently Asked Questions
A tutoring invoice should include your name or business name and contact details, an invoice number and date, who is paying (usually a parent or guardian), the student's name, the subject, each session's date and length, your rate per session or per hour, any package or sibling discount, the total due, the due date, and your payment and cancellation terms. If you tutor through a school or agency, add their reference or purchase order number.
Address it to whoever pays. For minors that is almost always a parent or guardian, so put their name in the bill-to section and the student's name on each line item, e.g. 'Emma — GCSE Maths, 60 min'. Adult learners and university students can be billed directly. With a free Invoita account you can add a 'Student' custom field so the name sits clearly near the top of every invoice.
Invoice the package up front as a single line, e.g. '10-session package, SAT Math, 60 min each — $600' (instead of $65 per session). Put the package terms in the notes: how many sessions it covers, when they expire, and whether unused sessions are refundable. When the family renews, start the new invoice's notes with the sessions used so far, so the balance is never a surprise.
Write your cancellation policy into the terms on every invoice (for example: 'Sessions cancelled with less than 24 hours' notice are charged in full'). When it applies, add the session as its own line with the date and the reason, e.g. 'Late cancellation — Thu Oct 16, notice given 3 hours before — $65'. A dated, labelled line is much easier for a parent to accept than a silent extra on the total.
Bill both children on one invoice to the same parent, with each child's sessions on separate lines. Apply the discount to the second child's lines using a per-line discount (e.g. 10% off 'Liam — Reading, 4 × 45 min @ $50'), or use the whole-invoice discount if your policy covers the family total. Either way the parent sees the full price and the saving, not just a lower number.
